EMI Milestone Review Procedure

The milestone report is a formal document stating that a milestone has been achieved. The report provides a concise description of how the milestone was met. The milestone report is not a technical document and should not contain long technical descriptions or specifications. If necessary, the latter should be referenced in the report.

NEW The milestone report must have a clear and unambiguous statement when the milestone has been achieved.

Example#1: Milestone MNA1.1 - Project Kick-off Meeting

  • This report describes the EMI Kick-off (where, when, how many people) and provides a link to the agenda page and minutes. References to relevant technical documents produced as outcome of the meeting could be added, although this was not the case for MNA1.1.

Example#2: Milestone MJRA1.1 - Security Workshop

  • This report describes the 1st EMI Security Workshop. Technical details about the outcome of the workshop are attached as annex to the report.

Milestone review procedure

Date Description
Milestone report authors must use the milestone report template either in DOC or ODT format. Other formats are not supported. A PDF file can be submitted together with the DOC or ODT for convenience
10 days after the milestone achievement date Milestone report authors must send document to the workpackage leader within which the milestone was achieved. The DoW indicates the milestone due dates, and authors should send the report for review no later than M+10 days, where M is the last day of the due date month. The workpackage leader will verify the content and format of the document and send it to the PEB for review and approval
17 days after the milestone achievement date (or 1 week after the previous step) PEB reviews the milestone report with the decision to accept it or provide a motivated rejection within 1 week of the reception of the milestone from the workpackage leader
PEB sends notification of final acceptance or motivated rejection to the authors immediately after the PEB decision
Approved deliverables are converted to PDF by the EMI Project Office and published in the CDS/OpenAIRE document repository.
